Privacy notice
This notice describes how EIITS handles personal information in Canada. It is written for the Personal Information Protection and Electronic Documents Act (PIPEDA). It is not legal advice.
Who we are

What we collect
When you book a consultation or email us, we may collect your name, work email, phone number, organization, province, time zone, and the details of your request. If you become a client, we may also process business contact details, project records, and billing information needed to issue CAD invoices with GST/HST.
Why we collect it
We collect personal information to respond to inquiries, provide services, invoice, and meet legal and accounting duties. We do not sell personal information. We do not use inquiry data for unrelated marketing unless you separately consent, consistent with Canada’s Anti-Spam Legislation (CASL).
Consent
Inquiry forms ask for express consent before we use your contact details to reply. You may withdraw consent for optional uses by emailing us. We may still keep records we are required to retain (for example, invoices).
Access and correction
You may request access to personal information we hold about you, and ask us to correct inaccuracies, subject to PIPEDA exceptions. Send requests to hello@zivox.io. We aim to respond within 30 days.
Safeguards and storage
We use reasonable administrative, technical, and physical safeguards. Some tools we use to deliver software (for example cloud hosting chosen with a client) may store data in Canada or another jurisdiction. Where data may leave Canada, we will say so in the engagement and use contractual safeguards appropriate to the transfer.
Health information
For clinic or health-operator projects we design workflows with PHIPA in mind. EIITS is not a health information custodian. Personal health information remains under the client’s custody unless a written agreement says otherwise.
Retention
We keep personal information only as long as needed for the purpose collected or as required by law, then securely destroy or de-identify it.
Complaints
If we cannot resolve a privacy concern, you may contact the Office of the Privacy Commissioner of Canada.
